State Approves Online Process that Eliminates "Bubbles"
in Paper-Based Attendance Scanning



Roseville, CA (August 30, 2001) - In a first for California Regional Occupation Programs (ROPs), the California Department of Education, Education Finance Division, has approved San Diego County Office of Education's request to use a new online process for attendance collection and reporting that improves the efficiency and accuracy over traditional paper-based scan sheets that use bubble forms. The San Diego County Office of Education ROP has been utilizing the new online process, called eClassManager™, in an evaluation mode for the past several months. A KnowledgeCore Software customer, the San Diego County Office of Education ROP is the second largest ROP in California serving 45,000 vocational students across 22 school districts.

eClassManager is a new module in KnowledgeCore Software's AIM-Student Relationship Management™ system designed specifically to meet the administrative and reporting needs of adult and career education schools. eClassManager essentially provides a real time online roster sheet that duplicates the existing scan roster sheet, allowing the teacher to enter student attendance directly online in place of marking the scan sheet. During evaluation at the San Diego County Office of Education ROP, the online attendance method delivered by eClassManager eliminated scan sheet errors resulting from poor bubbling techniques and marking devices that do not consistently meet the requirements for infrared scanners. Automated attendance tracking and audit capabilities are also included in the software, along with the ability to enter grades, credits and competencies online.

"It certainly paves the way for many of our other customers to make similar requests to the state, and to begin reaping the benefits of "no bubbles" online attendance processing."

A weekly Signature Sheet is printed as a report of attendance showing the same information as current scanned sheets, including summary totals of the attendance hours. The approval is based on teachers signing and dating the Signature Sheets on a weekly basis. The Signature Sheets become the permanent record at the service center. Security is maintained by supplying teachers with a unique password and an administrator controlled security profile, and allowing teachers to access only sections to which they are assigned. The integrity of the electronic record is maintained through attendance change log records provided by the system, complete with an audit trail of additions, deletions and modifications.

The Education Finance Services Division issued approval to the San Diego County Office of Education ROP to commence full implementation of the new online attendance process early in the 2001-2002 fiscal year.
